Payment terms

Upon completion and return of the registration form, full payment is required no later than 5 business days from the date of the invoice. Payment of invoices is subject to a €29 plus VAT (EU) or $49 (USA and GCC) per-delegate processing fee. Payment must be received prior to the event date. We reserve the right to refuse admission if payment has not been received.

The registration fee includes event documentation, admission to all sessions, lunches and refreshments, admission to networking breaks during the event, and the networking dinner. It does not include travel, hotel accommodation, transfers, or insurance.

Ticket insurance

During registration, you have the option to purchase an additional service called “Ticket Insurance” for €19.50 (excluding VAT) per participant.

By purchasing Ticket Insurance, you gain the right to transfer your participation once to another event organised by EBCG within its portfolio, without any obligation to pay a difference in the registration fee, even if the new event is more expensive.

Participation may also be transferred to another person, provided that person is an employee or representative of the same company that paid for the original registration.

Ticket Insurance cannot be applied for the benefit of individuals working in marketing, sales, business development, or similar commercial roles.

Hotel accommodation

Overnight accommodation is not included in the registration fee. A reduced rate may be available for EBCG’s clients at the event hotel, hotel name TBC. The reservation form will be sent no later than one month before the event begins.

Cancellation by client

You have the right to cancel your participation in the event. Cancellation must be received by EBCG in writing, either by email or by post.

If you cancel with more than one month’s advance notice before the start of the event, EBCG is entitled to retain and charge 50% of the total invoiced amount.

If you cancel with one month’s notice or less, or fail to attend the event, you are not entitled to any refund or discount.

Failure to attend the event does not cancel, decrease, or in any way waive your obligation to pay the fee invoiced by EBCG in full.

Cancellation by EBCG

While every reasonable effort is made to adhere to the advertised programme, circumstances outside EBCG’s control can arise which may cause changes to the programme, including but not limited to changes in content, dates, location or venue, or specified features of the planned event. Such circumstances include, but are not limited to, acts of terrorism, war, extreme weather conditions, compliance with government requests or legal requirements, failure of third-party suppliers to deliver on time, and failure to register the minimum targeted number of attendees.

EBCG reserves the right to change the content, dates, location, venue and/or special features of an event, to merge it with another event, to postpone it, or to cancel it entirely, as appropriate under the circumstances.

You agree that EBCG shall not be liable for any costs, damage, or expense incurred as a consequence of the event being changed, merged, postponed, or cancelled, and agree to hold EBCG harmless and to indemnify EBCG for any liabilities caused by such changes.

Cancellation of the event

If EBCG cancels the event, EBCG may offer a full credit up to the amount actually paid. This credit is valid for up to one year from the invoice issue date, to be used towards any EBCG event. This credit is offered at EBCG’s discretion and is not a contractual right.

Privacy notice and data protection

By registering for a Pharma PPM Toolbox event, you confirm acceptance of this privacy notice.

EBCG may capture images of attendees at its events, including conferences, symposia, webinars, and virtual events, with photographic and video equipment, used exclusively for EBCG purposes including marketing, our website, social media, and historical records. These images may be shown publicly.

EBCG may also use automated systems at events that allow audio and/or video recording of sessions, and may make these available on the event digital application as a learning resource at EBCG’s discretion. Presenters will be forewarned and/or given the option to decline recording.

EBCG cannot be responsible for the actions of audience participants, such as personal screenshots, recordings, or mobile photos.

Information sharing

We do not rent or sell our customer email lists.

We may share your personal information with professional organisations (event partners, sponsors, exhibitors) to promote similar products and services related to your area of interest. If you do not consent to this, please email database@ebcg.com.

Event sponsors may receive registrants’ names, job titles, companies, and email addresses to facilitate B2B communication during and after the event. Sponsors may contact you about their products and services.

EBCG will remove any photograph on written request from individuals who object to the use of their recognisable image.

Event newsletters

By agreeing to these terms and conditions, you consent to the processing of your personal data for marketing purposes. This includes receiving information about our events, training sessions, and job portal updates.

Right to withdraw: you can unsubscribe at any time, without detriment.

Data processing: your personal data is handled according to our Privacy Policy.

Client identification information

By placing an order and accepting these terms and conditions, you grant EBCG the right to share your identification information (name, address, email, phone, and representatives’ names) with third parties participating in the same event.

Governing law

This contract is governed by and construed in accordance with the law of the Slovak Republic. Any disputes arising out of this contract shall be brought before the courts of the Slovak Republic situated in Bratislava.

Registration decline

EBCG reserves the right to review and decline any registration at its own discretion.
